Version:1.0

Preamble

Vehicle Data LLC ("Company," "We," "Us," or "Our"), doing business as VINReport.com, is committed to protecting the privacy and security of your personal information. This Privacy Policy ("Policy") describes how We collect, use, disclose, and safeguard your information when you visit our website www.vinreport.com (the "Site") and use our vehicle history and data services (the "Services").

By accessing the Site, generating reports, or providing your information, you agree to the collection and use of information in accordance with this Policy. If you do not agree with the terms of this Policy, please do not access the Site.

Article 1: Information We Collect

We collect information that identifies, relates to, describes, references, is capable of being associated with, or could reasonably be linked, directly or indirectly, with a particular consumer or device ("Personal Information"). We collect this information through various categories:

1.1. Information You Provide Directly

We collect information that you voluntarily provide to us when you register for the Services, purchase a report, or contact support. This includes:

  • Personal Identifiers: Name, postal address, email address, and telephone number.
  • Account Credentials: Username, password, and account preferences.
  • Vehicle Information: Vehicle Identification Numbers (VINs) that you search for or decode on the Site. While a VIN describes a vehicle, we treat the association of a VIN with your account as part of your usage history.
  • Payment Information: Credit card numbers, billing addresses, and transaction details. Note: We do not store full credit card numbers; these are processed by our third-party payment processors (e.g., Stripe, PayPal).
  • Customer Support Data: Information you provide in communications with our support team, including chat transcripts and email records.

1.2. Information Collected Automatically

When you navigate the Site, we automatically collect technical data about your equipment and browsing actions. This includes:

  • Device Data: The type of device you use (mobile, desktop, tablet), operating system, and browser type.
  • Log Data: Internet Protocol (IP) address, time zone setting, browser plug-in types and versions, access times, and pages viewed.
  • Usage Data: Clickstream data, including the Uniform Resource Locators (URL) you came from (referring URLs), the pages you view on our Site, and the links you click.
  • Location Data: General geographic location derived from your IP address.

1.3. Information from Third Parties

We may receive information about you from third parties, including:

  • Affiliates: If you were referred to our Site by a marketing affiliate, we receive data confirming the referral to attribute commissions.
  • Data Partners: We aggregate vehicle data from sources like NMVTIS, state DMVs, and insurance databases. While this is primarily vehicle data, it may be linked to the VINs you search.

Article 2: How We Use Your Information

We use the information we collect for specific business and commercial purposes:

2.1. Service Fulfillment

  • To generate and deliver Vehicle History Reports, VIN decodes, and market value estimates.
  • To process payments and prevent fraudulent transactions.
  • To manage your account registration and authentication.

2.2. Communication

  • To send you transactional emails, such as purchase receipts, report links, and account updates.
  • To respond to your customer service inquiries or dispute resolution requests.
  • To send you marketing communications, strictly where you have opted in to receive them, regarding new features or promotions.

2.3. Improvement and Analytics

  • To analyze how users interact with the Site to improve user experience and interface design.
  • To monitor the performance of our API and bulk upload tools.
  • To detect and prevent security incidents, malicious activity, and potential fraud.

  • To enforce our Terms of Service and protect the rights, property, or safety of Vehicle Data LLC, our users, or the public.

Article 3: Sharing and Disclosure of Information

We do not sell your Personal Information to third parties for money. However, we may share your information with third parties in the following circumstances:

3.1. Service Providers

We disclose information to third-party vendors, service providers, contractors, or agents who perform services for us or on our behalf and require access to such information to do that work. Examples include:

  • Payment Processors: To facilitate secure credit card transactions.
  • Hosting Services: Cloud infrastructure providers (e.g., AWS, Azure) that host our servers.
  • Email Platforms: Services used to send transactional emails and reports.

3.2. Data Partners and NMVTIS

In the course of generating reports, specific search queries (VINs) may be transmitted to our data partners (such as NMVTIS or auction databases) to retrieve the relevant vehicle history. These partners do not receive your personal payment or contact information, only the query data required to fulfill the service.

3.3. Affiliate Marketers

If you access the Site through an affiliate link, we share transaction data (e.g., purchase confirmation) with the affiliate network to verify the referral and calculate commissions. This data is generally anonymized where possible.

3.4. Business Transfers

If we are involved in a merger, acquisition, financing due diligence, reorganization, bankruptcy, receivership, sale of company assets, or transition of service to another provider, your information may be sold or transferred as part of such a transaction as permitted by law and/or contract.

3.5. Legal Requirements

We may disclose your information where we are legally required to do so in order to comply with applicable law, governmental requests, a judicial proceeding, court order, or legal process, such as in response to a court order or a subpoena (including in response to public authorities to meet national security or law enforcement requirements).

When we have no ongoing legitimate business need to process your Personal Information, we will either delete or anonymize it, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.

Article 6: Data Security

We use administrative, technical, and physical security measures to help protect your Personal Information. These measures include SSL encryption for data in transit, firewalls, and secure access controls for data at rest.

However, please be aware that no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information.

Article 7: Children's Privacy

The Services are not intended for individuals under the age of eighteen (18). We do not knowingly collect personal information from children under 13. If we learn we have collected or received personal information from a child under 13 without verification of parental consent, we will delete that information.
